GBTTL Donated No-Cost Portrait Session Certificate Guidelines

 

(The information on this page is ONLY relevant to those Photographers who are donating session certificates to our "drawing type" events. If you are joining us to shoot at one of our "full-day" types of events, this information will not directly relate to you.)

Giving Back Through The Lens (GBTTL) strives to provide each certificate winner with a high-quality portrait and an overall experience to be treasured for a lifetime. To do this we must have minimum requirements for each portrait session photographers donate to a "drawing type" portrait event. We ask that photographers provide the following items for EACH session they contribute. Please be aware of your monetary cost for providing these items. GBTTL is not usually able to reimburse you for any of the items you use to provide portrait session packages. We estimate your materials cost for each session should be approximately $3.00 or less. 

Guidelines

  1. We encourage you to contact your session certificate winners as soon as possible once we provide you with their contact information. In no case should you wait longer than 14 days after the event to contact each family.
  2. We ask that you work cooperatively with each family or individual to find a mutually agreeable date and time to conduct their portrait session.
  3. Each certificate for a no-cost session expires 90 days after the event where it was issued. All portrait sessions should be conducted no later than 90 days after the event.
  4. We ask that you please obtain a GBTTL Model Release for each individual you shoot. You will have access to the GBTTL Model Release via the “Forms For Photographers” section of this site. The release is a standard requirement in the industry and provides protection for the individuals, the photographer, and Giving Back Through The Lens. This release will also allow you to use the images in your portfolio. GBTTL will use the images you provide for the purpose of promoting future GBTTL events. 

 

What Photographers Will Need To Provide For Each Session

  1.    One 30 minute portrait session. 

The “type” of session will determined by the photographer and the certificate winner when contact is made after the event. It may be a studio portrait or a location portrait, etc. We encourage you to help these individuals feel as special as possible during their session. Respect their dignity and build their self-esteem. Please reach deep and tap your best talent to provide these individuals with superior images from their session. You may also consider having a volunteer hair and makeup artist attend the session to make it truly an event to remember for each person. The session can be longer than 30 minutes if you wish.

 

 2.     A minimum of one high-quality 8”x10” print.

Prints should be delivered to the individuals within two weeks of their portrait session. The print should be equal in quality to a print a paying client would receive. You are welcome to provide your winners with additional prints if you wish. Inkjet prints are acceptable if they are made on a photo-quality printer. You are welcome to deliver the prints in-person or via postal mail.

 

3.     A CD/DVD containing the images from their session.

Along with the prints, you will provide a CD/DVD containing the final edited images from that individual’s session. You may provide as many images as you wish on the disc. Along with the CD/DVD, you will need to provide a copy of the GBTTL Copyright Reproduction Release. This will authorize the individual or family to have additional prints of their images made at the lab of their choice.

 

REMINDER:

We ask that you send us at least one image from each GBTTL session you conduct, as well as a copy of the signed Model Release form. Options for delivering these to us by electronic method, as well as by mail or in-person are available.
